Use Subfolders

Keeping your inbox empty will require you to create subfolders for sorting, reference, and future action. Use a system that works for you, and be sure to schedule tasks on your calendar so that you do not forget to follow up on a message that was moved to a subfolder but has yet to be fully attended to. You may even be able to use your email program's "custom rules" feature to automatically and immediately move or delete email messages. The rules can be configured to check for specific "to" and "from" addresses, subject lines, or even message content.

It is important that you not use subfolders simply as a means of hiding all of your incoming e-mails, or just in the interests of having an empty inbox. Out of sight should not mean out of mind. In order to achieve email sanity, you must make reasonable decisions about what should be stored in subfolders and what can simply be deleted. You should monitor and maintain your subfolders just as you do your inbox, discarding those messages that are out of date or have been properly attended to.
